Managing staff

How to invite staff, view profiles, manage unavailability, and use the staff detail page.


The staff list

Go to Staff in the sidebar to see everyone in your organisation. From here you can invite new members, view profiles, and send messages.

Inviting a staff member

  1. Click Invite staff
  2. Enter their email address
  3. Click Invite

The person will receive an email invitation. When they sign in for the first time they’ll be added to your organisation as a staff member (not an admin).

Making someone an admin

Staff members have the member role by default. To promote someone to admin (owner), use the role selector in the staff list.

Removing a staff member

Click the Remove button on their row in the staff list. Their account is not deleted — they simply lose access to your organisation.


Staff detail page

Click on any staff member’s name to open their full detail page. This shows:

  • Profile — contact details, emergency contact, skills, and availability preferences
  • Upcoming schedule — their shifts across the next two roster periods
  • Unavailability — upcoming periods when they’re unavailable
  • Message history — recent messages between them and any admin

Editing a profile

Click Edit profile on the detail page to fill in or update:

Click Save when done.

Sending a message from the profile

Use the New message compose panel at the top of the detail page to send a message directly to that staff member.


Managing unavailability

Go to Availability in the sidebar to see and manage all upcoming unavailability records across your entire team.

Adding unavailability for a staff member

Useful when a staff member calls in sick or requests leave verbally rather than through the app.

  1. Click Add
  2. Choose the staff member
  3. Set the start and end date/time
  4. Add an optional note (e.g. “Annual leave”, “Medical appointment”)
  5. Click Add

Editing or deleting a record

Use the Edit (pencil) or Delete (trash) buttons on each row.

Messaging a staff member from the availability page

Click the chat bubble icon on any row to open a quick-message panel. Useful for following up on sick leave notices or confirming return dates.

Show past records

By default the list shows only upcoming unavailability. Toggle Show past to see historical records.


Staff self-service

Staff can mark their own unavailability from the My Schedule page. They can also view (but not edit) their own profile from My Profile, and send an update request to you if any details need changing.
